Partner Fulfillment Collaboration Playbook

When to Use This
Partner collaboration matters when:
- an external partner needs customer cooperation;
- the customer contact is not the actual executor;
- a request must be rewritten into customer-safe wording;
- completion feedback must return to internal teams or partners;
- the process needs review and evidence.
Four Roles
Fulfillment Partner
Creates requests, reports progress, or provides material.
Customer Contact
Receives customer-facing wording and coordinates people inside the customer organization.
Actual Executor
Completes confirmation, authorization, submission, material addition, or completion feedback.
Internal Team
Reviews high-risk content, takes over complex cases, and replays evidence.
Operating Flow
- Understand the partner request.
- Identify customer and service case.
- Identify customer contact and actual executor.
- Generate customer-safe wording.
- Send or route to human review.
- Record waiting state.
- Receive customer completion feedback.
- Write back to the service case and notify required roles.
- Preserve evidence and improve the process.
Risk Boundary
Require review when:
- partner request is incomplete;
- customer identity is uncertain;
- the message goes to a public group;
- commitment, compensation, or dispute is involved;
- partner wording should not be customer-visible.
